The applicant must be 18 years and over in age to agree to and sign the terms and conditions.
Vehicle access and parking on reserves is not permitted without appropriate approval.
Parks and Reserves are public areas and free public access to all areas by the public must be maintained (this includes barbecue and playground areas). Booking an area does not give exclusive use of that area.
It is not permitted to display posters or signs on telegraph poles, trees or anywhere within roadways advertising the activity.
Large events that are ticketed, has more than 300 people attending or has an onsite commercial operator or event coordinator may need to be assessed and forwarded to the Arts, Culture & Tourism - Events Staff for approval.
All information pertaining to electricity, caterers, structures such as marquees, amusement devices/carnival equipment including the use of pyrotechnics and sound amplification must be supplied to Council.
Structures such as marquees and tents must be self-supporting and not tied to trees, buildings, fences, or signs. Water or sand weights may be used to secure your structure.
A current copy of the Certificate of Placement/Certificate of Currency must be supplied from the hiring company if a jumping castle and/or other amusement device/service/s is to be provided, a minimum cover of $20,000,000.00 applies to all bookings. Electricity is not available at all sites.
Mowing of a park or reserve prior to your booking is not guaranteed.
Some reserves are nominated alcohol free and Council regulations must be observed in these parks.
Public Liability Insurance Minimum $20,000,000.00, noting Lake Macquarie City Council as an interested party must be provided for activities such as a company picnic or function, community organisation bookings, fundraising events and for public hire using external suppliers for catering, amusement devices, etc.
A risk assessment is required for bookings involving any amusement device.
The applicant is responsible for the collection and removal of all rubbish generated by the activity. All grounds and shelters are to be left in a clean and tidy condition. The hirer is required to supply their own cleaning materials when hiring the Heritage Shed located at Speers Point Park.
A site inspection may be required before and after the activity and a bond/deposit required.
Payment is required prior to issuing the Booking Confirmation Letter. After payment Council will send written confirmation of booking to the applicant.
Applicant is to retain Confirmation Letter and have on hand on the day of their function.
Refunds will only be paid when written notice is received by Council at least five working days prior to the date of booking.
No refunds will be given in the event of poor weather conditions.
The applicant is responsible for collection and returning the keys for the park access, electricity and other facilities to Council.
You must act upon any direction given by an officer of Council or a member of the NSW Police Force.
