Call Out for Live Site Management

Lake Macquarie City Council (LMCC) is seeking suitably qualified local Event Management professional(s)/organisation(s) to assist the Events team in the delivery of the Float Your Boat live sites. 

Live sites 

  • Friday 20 June 2025 – Toronto Foreshore
  • Saturday 21 June 2025 – Warners Bay Foreshore
  • Saturday 21 June 2025 – Belmont Foreshore  

The live sites are free, family-friendly events that activate the shoreline, while the community awaits the arrival of the flotilla. Each live site provides food, music, family-friendly entertainment and illuminated elements such as up-lit trees and roving performers. 

Scope of Work 

  • Live site Contractors will manage the inclusion of stall holders and provide on-the-day event delivery and support to the LMCC Events Team. 
  • Liaise with LMCC events team in the development and implementation of the site plan.  
  • Provide input to the program and in some cases, deliver/oversee a live site activity during the live site running times.  
  • Provide a minimum of 2 staff to assist with the on-the-day event Delivery from bump in to bump out of all stallholders and other contractors as requested by the LMCC events team.  
  • Manage the administration of food and drink vendors and stallholders. 
  • Coordinate the Expression of Interest (EOI) process, selection, engagement,  
  • Ensure the Stallholders have appropriate insurance and permits to operate.  
  • Manage the event footprint allocated to stallholders, from bump in to bump out.  
  • Live site contractors must hold adequate insurance for the duration of the contract.  
  • Live site contractors must adhere to the risk and emergency response management. 
  • Participate in any post-event evaluations.  

Submitting your EOI 

We are accepting expressions of interest from suitably qualified event management contractors who can fulfil the requirements for the festival and are available for the dates specified.  

  • Expressions of interest are to be submitted online via the link below 
  • Applicants can nominate to support one, two or three live sites.  
  • Expressions of interest are open until 5pm, Tuesday 8 April 2025.  
  • Outcome of applications will be provided by COB Tuesday, 29 April 2025.
